Digital khata app for shops in Pakistan
Your khata register is the most valuable book in the shop, and the easiest to lose. Taajir keeps every customer's udhaar as a running ledger, linked to bills and payments, on your phone and computer.
Balance always up to date
Credit sales add to the customer's balance and payments reduce it. No manual totalling at the bottom of the page.
Full history behind every figure
Each balance shows the bills and payments that make it up, with dates, so disputes end quickly.
Reminders on WhatsApp
Send a payment reminder in one tap, or send the full ledger as a PDF to the customer's WhatsApp.
Suppliers too
The same ledger tracks what you owe each supplier, so both sides of udhaar are in one place.
Safe from fire, rain and loss
Backups mean a torn or soaked register no longer wipes out months of records.
Why the paper khata is a risk
Udhaar is how Pakistani trade runs. The kiryana shop gives credit to families on the street, the wholesaler gives credit to the kiryana shop, and the distributor gives credit to the wholesaler. All of that is held together by khata registers, often one fat book kept under the counter.
That book has weak points. Only the person who keeps it can read it properly. Totals are carried forward by hand, and one mistake carries forward forever. Pages tear. A leaking roof in the monsoon or a short circuit can destroy it in a night. And when a customer says 'mera hisaab dikhao', you are turning pages for ten minutes in front of other customers.
What a digital khata entry looks like
Here is one customer's ledger for a month at a kiryana store in Sargodha. Every row is created by a bill or a payment, not typed in separately.
| Date | Detail | Udhaar given | Payment received | Balance |
|---|---|---|---|---|
| 3 March | Bill: flour, ghee, rice | Rs 8,400 | Rs 8,400 | |
| 10 March | Cash payment | Rs 5,000 | Rs 3,400 | |
| 15 March | Bill: sugar, tea, soap | Rs 3,250 | Rs 6,650 |
When the customer asks why he owes Rs 6,650, you open his ledger and show the three lines. If he asks what was on the 15 March bill, you open the bill itself. You can also send the ledger as a PDF to his WhatsApp so the family can see it too. When he pays the Rs 6,650 by JazzCash or EasyPaisa instead of cash, the payment is recorded with that method and the balance drops to zero.
More than a khata: why the link to billing matters
There are simple khata apps where you type 'Aslam, Rs 3,250' and that is it. They are better than paper, but they leave a gap. The amount has no bill behind it, the stock is not reduced, and you still need a separate way to make invoices. In Taajir, the khata is the party ledger inside a full trading system. The bill that adds to the balance is the same bill that reduces stock and appears in your sales report. You make one entry, and three records stay correct.
Moving from your register to the app
- Pick a date to switch, ideally the start of a month.
- Close your paper register on that date and write the balance for each customer and supplier.
- Enter those as opening balances in Taajir. If the list is long, put it in Excel and use the free import.
- From the switch date, every udhaar sale goes through a Taajir bill and every payment is recorded in Taajir.
- Keep the old register safe for reference, but stop writing in it.
- After the first month, ask a few regular customers to check their balance against their own record. It builds trust in the new system.
Our step-by-step guide on moving from paper khata to software covers common mistakes, such as entering the same old balance twice. You can also compare the two directly in Taajir vs paper khata.
Keeping udhaar under control
A digital khata does not collect money by itself, but it makes collection easier. You can see at a glance who has the largest balances and who has not paid in a while. A short, polite WhatsApp reminder with the exact balance works better than a vague 'kuch paise reh gaye hain'. For a routine that works, read our guide on how to collect udhaar payments, and see WhatsApp payment reminders.
Who can see the khata
Customer balances are sensitive. With role permissions you decide which staff can view ledgers, which can record payments, and which can do neither. The audit log shows who recorded or changed an entry, which matters when the person handling cash is not the owner. A deleted entry goes to the recycle bin and can be restored.
Taajir costs Rs 4,000 a month on the Standard plan, or Rs 36,000 a year if you pay yearly, which is Rs 3,000 a month. It works on the web, as a Windows desktop app and as a mobile app. Try it free for 7 days.
Questions people ask
Is Taajir only a khata app?
No. The khata is the party ledger inside Taajir, which also does billing, stock, purchases, expenses and reports. That is why balances always match your bills.
Can I enter old balances from my register?
Yes. You enter each customer's and supplier's balance as an opening balance on the day you switch, by hand or through the free Excel import.
Can I send a customer their balance on WhatsApp?
Yes. You can send the ledger as a PDF, invoices and one-tap payment reminders to customers on WhatsApp from Taajir.
What if my phone is lost or broken?
Your records are not stored only on the phone. Taajir includes backups, and you can log in again from another device.
Does the khata work without internet?
Yes. Offline mode lets you keep recording, and entries sync when the connection returns.

WhatsApp payment reminders
Your customers already read WhatsApp all day. Taajir lets you send them their invoice, their current balance and a payment reminder there, straight from their ledger, without typing the figures yourself.
Billing software
Taajir replaces the carbon-copy parchi book with clear printed or WhatsApp invoices. Each bill updates stock and the customer's balance, so the counter work you already do also keeps your books.
Accounting software
Most shop owners do not want to learn debits and credits. They want to know who owes them, whom they owe, where the cash went and whether the month made money. Taajir records all of that from the work you already do.
