Kiryana and grocery store software in Pakistan
A kiryana store lives on thin margins and monthly khata. Taajir keeps every household's account, every supplier's bill and every item's stock straight, so the margin you earn is the margin you keep.
What makes this trade hard to run.
Monthly khata for the whole mohalla
Households buy all month and pay on salary day. Fifty or a hundred pages in the khata, and every month someone disputes their total.
Hundreds of small items
Daal, chawal, ghee, soap, biscuits and loose items by weight. Without a record, you notice an item is finished only when a customer asks for it.
Margins of a few rupees
On sugar and flour the margin is a few rupees a kilo. Selling one item at an old price for a week can wipe out that item's profit.
Daily visits from company order bookers
Several distributors' order bookers come every week. Each bill is on credit, and keeping track of who you owe is a job of its own.
Built around the way you work.
Customer khata with running balance
Each household is a party. Credit sales add to their balance, payments reduce it, and the full ledger can be sent on WhatsApp.
Supplier ledgers
Every distributor's bills and your payments to them are in one place, so you know what you owe each company before the order booker arrives.
Purchase and sale prices per item
Record what you paid and what you sell for, and reports show the profit you make on each item.
Stock that drops with every sale
Billing reduces stock automatically. Loose items can be bought by the carton or kg and sold by the piece or gram, and stock reports show what is running low.
Payment reminders on WhatsApp
On the 1st of the month, send each household their balance as a reminder instead of walking door to door.
From opening to closing.
Early opening
Milk, bread and eggs sell first. Morning sales are billed and stock drops as they go.
Order bookers arrive
Before placing orders, the owner checks stock of each company's items and what is owed to that distributor.
Deliveries
Distributors deliver. Each purchase is entered on credit to that supplier's ledger.
Evening rush
Households shop after work. Regular customers' purchases go to their khata.
Closing
The owner checks the day's cash, credit given and payments received, and notes low-stock items.
The economics of a kiryana store
A neighbourhood kiryana store in Rawalpindi or Bahawalpur sells hundreds of small items to the same families every day. The margin on staples is small. On a 50 kg bag of sugar bought at Rs 7,200, the cost is Rs 144 a kilo. Sell at Rs 155 a kilo and the bag brings in Rs 7,750, a profit of Rs 550 for the whole bag. Sell a few kilos at the wrong price, give a few kilos on khata that never comes back, and that Rs 550 is gone.
That is why record-keeping matters more in a kiryana store than in almost any other shop. The money is made in small amounts and lost in small amounts.
A worked example: one household's monthly khata
A family in your street buys through the month and pays when the salary comes. In Taajir their ledger looks like this:
| Period | Entry | Amount (Rs) | Balance (Rs) |
|---|---|---|---|
| Opening | Left over from last month | 2,500 | |
| Week 1 | Purchases | 7,850 | 10,350 |
| Week 2 | Purchases | 6,420 | 16,770 |
| Week 3 | Purchases | 8,130 | 24,900 |
| Week 4 | Purchases | 5,600 | 30,500 |
| 1st | Cash paid on salary day | - 25,000 | 5,500 |
The month's shopping was Rs 28,000, plus Rs 2,500 from before, so Rs 30,500 was due. They paid Rs 25,000 and Rs 5,500 carries forward. When the head of the house says 'itna kaise ho gaya', you send the ledger to his WhatsApp. Every purchase has a date and an invoice, so there is nothing to argue about. The khata app page explains how this works in more detail.
What you owe the companies
Kiryana stores also buy on credit. Order bookers from five or six distributors visit each week, and each delivery is a bill to pay later. In Taajir each distributor is a supplier with a ledger, so when an order booker asks for payment you can see exactly which bills are open. Before you place a new order, you can check how much of their last delivery is still on the shelf.
Stock without daily counting
Nobody in a kiryana store has time to count the shelves every day. Billing in Taajir reduces stock with each sale, and purchases add to it. The stock report shows what is low, so you order before a regular customer goes to the next shop for his cooking oil. Once in a while, a physical count corrects anything that went wrong. Our guide on reorder levels and safety stock shows how to decide when to order each item.
Collecting on the 1st of the month
Salary day is when khata gets paid, or does not. Taajir sends WhatsApp payment reminders with each family's balance, so you do not have to walk to each house or embarrass anyone at the counter. Families who pay regularly can be given more room; those who do not can be noticed early.
Start small
You do not need to enter every item on day one. Start with your khata customers' balances and your top 100 items, and add the rest as they sell. The AiroxLab team helps you set up remotely over WhatsApp and video call. Taajir Standard is Rs 4,000 a month for a single shop, or Rs 36,000 if you pay for the year (Rs 3,000 a month effective), with a 7-day free trial at taajir.pk.
