ArfaPOS

POS software for hotel restaurants in Pakistan

The restaurant in a hotel serves house guests at breakfast, outside diners at lunch and dinner, and the odd wedding party in between. ArfaPOS runs the restaurant side: tables, billing, kitchen orders, recipes, store, expenses and staff, so the restaurant's own numbers are clear.

The problem

What makes this trade hard to run.

Breakfast cost is a mystery

Breakfast is included in the room rate, so it never shows up as a sale. Eggs, parathas, tea and juice go out every morning and nobody knows what it costs per guest.

Two kinds of customers

House guests and walk-in diners eat in the same hall. Their orders get mixed, and the restaurant's own sales are hard to separate from the hotel's.

A shared store

The hotel and restaurant draw from the same store of tea, sugar, cleaning items and groceries. Restaurant food cost gets lost in the hotel's expenses.

Night staff and small cash

Late-night orders and small purchases are handled by night staff with little oversight, so cash and stock drift.

How ArfaPOS handles it

Built around the way you work.

Tables, waiter tablets and QR ordering

Set up the hall, lawn and terrace tables with free or occupied status. On Business, waiters order from tablets and diners can order from a QR card on the table.

Recipes for buffet and à la carte

Cost a breakfast plate the same way as a menu dish. Recipe-linked inventory deducts ingredients as items are recorded.

Kitchen display

Orders from the counter, tablets and QR reach the kitchen screen with a timer, so the cook sees them in order.

Kitchen and warehouse inventory

Keep the restaurant's stock in its own kitchen and warehouse sections, with purchases recorded against suppliers and their ledgers.

PRA and FBR e-invoicing

Print PRA e-invoice receipts with a QR code and send invoices to FBR from the counter, without a separate FBR machine. Included on Growth and Business.

Staff roles, audit logs and payroll

Night staff, cashiers and the F&B manager each get access suited to their job, with audit logs. Business adds payroll with allowances and salary advances.

A working day

From opening to closing.

  1. 6:30 am: breakfast service

House guests eat breakfast. Plates served are recorded so the cost of breakfast per guest can be worked out.

  2. Mid-morning: purchase and store

Vegetables, meat and dairy are bought and recorded against suppliers. The kitchen draws its stock.

  3. Lunch: walk-in diners

Business visitors and locals eat in the restaurant. Waiters send orders from tablets to the kitchen screen, and bills print at the counter with a PRA QR code.

  4. Evening: dinner and takeaway

Dinner for guests and outside diners. Lawn tables order by QR, and takeaway orders are tagged separately.

  5. Night: late orders and close

Night staff handle late orders and record any small purchases as expenses. The manager checks the day's report in the morning.

Run the hotel restaurant as its own business

Hotels and guest houses in Murree, Swat, Islamabad and Lahore often have a restaurant that serves both guests and the public. When the restaurant's costs are mixed into the hotel's, nobody can tell whether it makes money. The simple fix is to run the restaurant on its own restaurant POS, with its own stock, recipes, expenses and reports.

ArfaPOS is restaurant software. It handles dine-in tables, takeaway and delivery billing, waiter tablets, QR table ordering, the kitchen display, inventory, recipes, expenses and payroll. It does not handle room bookings or post restaurant charges to a guest's room bill. If you need the restaurant and the rooms joined in one system, that is a custom hotel management system, which we scope and quote separately.

Worked example: what breakfast costs per guest

Breakfast itemCost per guest (Rs)
2 eggs60
Paratha50
Bread, butter and jam60
Tea40
Juice70
Total280

At Rs 280 per guest, 40 guests a morning cost Rs 11,200 a day, or Rs 336,000 in a 30-day month. That number belongs in the room rate. If egg and butter prices go up by Rs 30 per plate, breakfast for 40 guests costs Rs 1,200 more a day and Rs 36,000 more a month. With a breakfast recipe in ArfaPOS, the ingredients deduct from stock each morning, so the cost per plate updates with each new purchase price.

Separating the store

Restaurant kitchen stock should be its own inventory in ArfaPOS. Purchases for the kitchen are recorded against suppliers with their ledgers, so the hotel's accounts team knows what the restaurant owes. Hotel-side items such as housekeeping supplies stay out of the restaurant's numbers. This is what makes the restaurant's food cost percentage meaningful.

Tables, lawns and QR ordering

Hotel restaurants often spread across a hall, a lawn and a terrace, and waiters spend half the evening walking. With table management, every table has its location and capacity, and the manager sees which are free. On Business, waiters take the order on a tablet at the table, and lawn guests can scan a QR menu to order from their phone. The order reaches the kitchen tagged with the table number.

Pricing the à la carte menu

Outside diners judge a hotel restaurant against the restaurants down the road. Recipe costing lets you check each à la carte dish. If a chicken jalfrezi costs Rs 780 to make and sells for Rs 1,600, food cost is 48.8%. If the local market charges Rs 1,400 for the same dish, you know how much room you have to compete before the dish stops paying for itself. The recipe costing page explains how recipes are set up.

Night shift control

Hotel restaurants often stay open late with fewer staff. With role-based permissions, the night cashier can bill and record expenses but cannot change prices, and cancellations need a reason. Audit logs and session tracking show who did what. Any small purchase, such as milk at 2 am, goes in as an expense. In the morning the manager sees exactly what happened overnight.

Seasons and tax

Tourist hotels in the north are full in summer and quiet in winter. Monthly sales reports show how the restaurant tracks the season. PRA e-invoice receipts and FBR reporting come with Growth at Rs 9,999 a month. Business at Rs 14,999 adds tablet and QR ordering, payroll and full accounts. The AiroxLab team sets up ArfaPOS and trains staff over WhatsApp, phone and video call.
