Taajir vs paper khata: keeping udhaar and stock in a register

The paper khata has served Pakistani shops for generations. It costs almost nothing and everyone understands it. This page looks fairly at what you keep, what you lose, and what changes when the khata moves into Taajir.

What the khata does well

A khata never needs charging and never asks for a password. You write the name, the date and the amount, and you are done. Many shop owners can tell you a customer's balance from memory. For a small kiryana store with a few regular customers, it works.

Where it costs you money

The problems are quiet ones. A balance carried forward wrongly from one page to the next. A payment written on a parchi and never entered. A customer who says he paid Rs 5,000 last month and you cannot show otherwise. Each of these is small. Together they add up.

Here is a simple example. A shop has 120 credit customers with an average balance of Rs 8,500. That is Rs 1,020,000 in udhaar. If just 2% of that is lost to disputes and missed entries, the loss is Rs 20,400. Taajir Standard costs Rs 36,000 a year on the yearly plan, which works out to Rs 3,000 a month. If the same 2% goes every quarter, the yearly loss is Rs 81,600, more than double the software cost.

And the register can be lost. Rain through a leaking roof, a fire in the market, or just a misplaced book, and every balance in it is gone.

How Taajir keeps the khata

In Taajir each customer has a ledger with debit, credit and running balance. Every sale on credit adds to the balance. Every payment received, in cash, bank, JazzCash or EasyPaisa, reduces it. There is no adding by hand. One report shows the total udhaar across all customers and who owes the most. See how a digital khata app works day to day.

When a customer questions a balance, you open his ledger and show him every invoice and payment with dates, or send it to his WhatsApp as a PDF. Invoices can go to WhatsApp automatically as they are saved. Most disputes end there. Payment reminders go out the same way, in one tap, without an awkward phone call.

Stock too

Many shops keep udhaar on paper and stock in their heads. In Taajir, every sale also reduces stock, and low-stock alerts tell you what is running out before a customer asks for it. Purchases add stock and record what you owe each supplier.

Making the switch without stress

You do not need to type years of history. Pick a start date, total each customer's current balance, and enter those as opening balances. Do the same for stock. If you put them in an Excel sheet, Taajir imports it free. The AiroxLab team helps with setup and training over video call and WhatsApp, in Urdu or English. Keep the old register for reference. Our guide on moving from paper khata to software walks through each step, and there is a 7-day free trial to try it first.

What stays the same

Moving to Taajir does not change how you do business. Customers still buy on credit, still pay in parts, and still get a bill. Your relationships with regular customers stay as they are. What changes is that the balance is always correct, the history is always there, and you no longer depend on one book that only you can read. If your son or a manager takes over the counter for a day, he sees the same numbers you would.

The verdict

Taajir pays for itself once you have dozens of credit customers, staff who also write entries, or stock worth tracking, because balances stay correct and reminders go out on WhatsApp. A paper khata is still a sensible choice for a very small shop with a few trusted customers, where the owner does every entry himself and the total udhaar is small enough to keep in his head.
