Distribution management software for Pakistani distributors

A distributor's business lives in three places: the godown, the delivery van and the retailer's khata. Taajir ties them together so you know what went out, what came back as cash and what is still owed by each shop.

Ledger for every retailer

Each shop you supply has its own running balance from deliveries and collections.

Collections recorded properly

Cash, bank, JazzCash or EasyPaisa collections are recorded against each shop, so nothing stays in someone's pocket unrecorded.

Orders, challans and invoices

Order bookers' orders go in as sale orders, goods leave with a delivery challan, and the invoice goes to the retailer's WhatsApp.

Stock across godowns

On the Business plan, see stock at each godown and the total before you load the van, and transfer stock between them.

Commission agent reports

The Business plan includes commission agent reports for distributors who pay order bookers or agents on commission.

Staff access by role

Order bookers, delivery staff and the accountant each get their own login with only the access they need. No per-user charge.

What makes distribution different

A distributor in Hyderabad or Bahawalpur may supply 100 to 300 shops. Most buy on credit, pay in parts, and expect the next delivery before clearing the last one. Margins are thin, often a few percent, so a handful of bad balances can wipe out a month's profit. The real work is control: what left the godown, what reached the shop, and how much came back.

Paper systems strain badly here. The order booker writes in one diary, the godown keeps a loading slip, the delivery man collects cash and notes it on the back of an invoice, and the owner reconciles everything at night. When a retailer says he paid Rs 20,000 last Tuesday and the books show Rs 15,000, it takes an hour to find out who is right.

A retailer's account, done right

Here is a typical week for one retailer account in Taajir.

StepAmountRetailer balance
Balance brought forwardRs 45,000
Monday delivery invoiceRs 32,000Rs 77,000
Thursday collection by delivery staffRs 40,000Rs 37,000

Each step is a single entry. The invoice reduces stock and adds to the balance. The collection reduces the balance and adds to cash received. The retailer can get the invoice and his current balance on WhatsApp, so there is no argument on Thursday about what was delivered on Monday.

Where distributors lose money

  • Old balances nobody chases. A shop that has not paid in 60 days gets another delivery because the van does not know.
  • Cash in transit. Collections not recorded the same day are the easiest to go missing.
  • Stock that does not reconcile. Goods loaded and goods invoiced do not match, and the difference is never found.
  • Supplier payments out of sync. You owe the company, the shops owe you, and you cannot see both at once.

Taajir addresses these with ledgers for both retailers and suppliers, payments in and out recorded by party, stock that moves with every invoice, and reports you can check from your phone. For a routine to bring down overdue balances, see our guide on how to collect udhaar payments.

A daily routine for a small distribution business

  1. Morning: check stock at the godown, any low-stock alerts and the list of retailers with large overdue balances.
  2. Before loading: turn the day's sale orders into invoices, or print delivery challans for goods going out. Stock goes down as each invoice is made.
  3. On route: delivery staff hand over invoices and collect payments. Damaged or unsold goods come back as a sale return against the original invoice.
  4. Evening: record each collection against the right retailer and match the cash handed in.
  5. Weekly: send WhatsApp reminders to retailers with old balances, and review what you owe your suppliers.

Keeping the owner in control

In distribution, the owner is often away: at the company office, at the bank, or out meeting retailers. With Taajir on the phone, he can check the day's invoices, today's collections and any retailer's balance without calling the godown. User permissions keep order bookers and delivery staff to their own tasks, and the audit log shows who recorded each invoice and each payment. If a collection entry is edited after the fact, the log shows that too.

Pricing for distributors

Most distributors keep stock in more than one place, so the Business plan is usually the right fit: Rs 5,000 a month, or Rs 50,000 a year paid yearly, with multiple warehouses and commission agent reports. If everything sits in a single godown, Standard at Rs 4,000 a month, or Rs 36,000 a year, works. Every order booker and delivery man can have a login at no extra cost. Rs 50,000 a year is less than a single retailer account of Rs 60,000 that goes bad. Start with the 7-day free trial at taajir.pk.

When you need more

Taajir covers invoicing, ledgers, collections, stock and reports. If your distribution needs things outside that, such as fleet tracking or route planning, AiroxLab can scope transport and fleet software as a custom build. For the business type itself, see our page on distributors.
