Why payroll is harder than it looks

On paper, payroll is simple: salary minus deductions. In practice, every company has its own rules. Late three times counts as one absence. Overtime is paid at one and a half times on weekdays and double on Sundays. Advances are cut in three installments. Factory workers on shifts, office staff on fixed hours and salesmen on commission all sit on the same salary sheet.

When this is done in Excel, one formula error affects everyone, and the HR person spends the first days of every month checking numbers. A system built around your exact rules does the calculation the same way every month.

An overtime example

An employee earns Rs 52,000 a month, based on 26 working days of 8 hours. That is Rs 2,000 a day, or Rs 250 an hour. If overtime is paid at one and a half times, each overtime hour is Rs 375. Twelve overtime hours in a month add Rs 4,500. Now multiply that by 150 workers with different hours, rates and advances, and it is clear why a manual sheet breaks.

What we commonly build

The modules above are the parts most clients choose from. A small office may need only employee records, attendance and payroll. A factory may add shifts, loans and department-wise reports. Each module follows your policies, written down during scoping.

How it gets built

We start with a call with your HR and accounts people to understand the current salary sheet and rules. You get a written scope with the modules, price and timeline. During the build you review working screens every week, and we run a test payroll against a month you have already paid, so you can check the numbers match. Then we move your employee data, train your team remotely, and support you on WhatsApp in Urdu and English.

Salaries are sensitive. User permissions decide who can see and change salary data, and an audit log records every change. Both come from the same foundation as our products Taajir and ArfaPOS. If you run a factory, payroll can also be part of a wider manufacturing ERP. If you run a restaurant, check ArfaPOS first: its Business plan includes payroll with allowances, deductions, salary advances and a payroll ledger, which may be all you need. To begin, use the get a quote form.

Payslips and bank transfers

Once payroll is calculated, two jobs remain. Employees want to see how their salary was worked out, and accounts needs to pay it. The system prints payslips showing pay, allowances, overtime, deductions and advances, or shares them on WhatsApp. For bank transfers, it produces a list with account details and amounts, ready to send to your bank. Cash-paid staff get a separate sheet with space for signatures, as many factories still need. Each month's payroll is kept, so when an employee asks about a deduction from March, the answer takes a minute to find.
