Software for building materials and cement dealers in Pakistan
Cement, steel and bricks go out by the truckload to sites, usually on credit and at rates that change every week. Taajir records each delivery, each payment and what every customer owes.
What makes this trade hard to run.
Truck deliveries on credit
A house owner or contractor orders 200 bags and a ton of steel, pays an advance, and the rest comes in parts over months.
Rates change every week
Cement and steel rates move often. A customer's account can hold the same item at three different rates, and disputes start there.
Very large balances
One house can run up lakhs of rupees in material. A single unrecorded delivery is a large loss.
Stock at the yard and on the road
Some material sits in your yard or godown, some is on the truck, some goes straight to site. Keeping count is hard.
Built around the way you work.
Challan and invoice for every truck
Each truck leaves with a delivery challan, and the invoice carries the quantity and the day's rate, so the account shows exactly what was sent and at what price.
Ledgers for contractors and house owners
Each customer's ledger shows deliveries, advances and part payments, with a running balance after every entry.
Estimates and unit conversion
Quote a whole house as an estimate and turn it into an invoice in one click. Multi-unit and weight conversion handles items bought in one unit and sold in another.
Yard and godown stock
On the Business plan, each yard or godown has its own stock, with transfers between them.
Supplier ledgers
Record purchases from cement and steel suppliers, what you owe them and what you have paid.
WhatsApp invoices and reminders
Send each delivery's invoice to the customer's WhatsApp, and remind them when a payment is due.
From opening to closing.
Morning rates
The day's cement and steel rates are confirmed with suppliers and set for today's sales.
Orders and dispatch
Contractors call for material. Each truck leaves with a delivery challan, and the invoice carries today's rate.
Site delivery
Material is unloaded at site. The invoice is sent on WhatsApp so the owner sees what arrived.
Collections
Advances and part payments come in by cash, cheque or transfer and go into each ledger.
Supplier stock
A cement or steel lot arrives. The purchase is entered and the supplier's balance updated.
How the building materials trade works
A building materials dealer in Bhakkar, Sargodha or Islamabad's outskirts sells cement by the bag, steel by the ton, bricks by the thousand, and sand and crush by the truck. Customers are contractors and families building a house. They pay an advance, take material over several months as the building goes up, and pay the rest in parts. Rates change often, sometimes twice in a month.
The amounts are large. A single house can take several lakh rupees of material. A missed truck on paper, or a wrong rate, is not a small mistake in this trade.
A worked example: one house
A family is building a house and buys from you through the grey structure stage. Their account in Taajir:
| Entry | Quantity | Rate (Rs) | Amount (Rs) |
|---|---|---|---|
| Cement | 200 bags | 1,420 per bag | 2,84,000 |
| Steel bars | 1.5 tons | 2,45,000 per ton | 3,67,500 |
| Bricks | 10,000 | 17,000 per thousand | 1,70,000 |
| Total material | 8,21,500 | ||
| Advance received | - 3,00,000 | ||
| Second payment | - 3,50,000 | ||
| Balance due | 1,71,500 |
When the roof is poured and the family asks what is left to pay, the answer is Rs 1,71,500, with every truck and every payment listed. If cement went up to Rs 1,480 for the next 100 bags, that invoice carries the new rate and the old bags stay at Rs 1,420. Nobody has to remember which rate applied to which delivery. A clear accounts receivable record is what lets you give credit confidently.
Rates that change
Because every invoice carries its own rate, a rate change affects only new deliveries. Purchases also record what you paid each supplier, so when cement goes up you can see whether your selling rate still leaves a margin. Reports show sales, purchases and expenses, including truck rent and labour you pay.
Estimates, challans and units
Before a family starts building, they usually want a rough figure for the grey structure. Make an estimate in Taajir with cement, steel and bricks at today's rates and send it as a PDF on WhatsApp. When they confirm, it becomes an invoice in one click, or you bill each truck as it goes. Every truck carries a delivery challan that the site supervisor signs, so a disputed load can be checked against signed paper. Multi-unit and weight conversion lets an item be bought in one unit and sold in another, for example steel bought by weight and sold by the bar. More on this at quotation and delivery challan software.
Yard, godown and direct deliveries
Many dealers keep cement in a covered godown and steel and bricks in an open yard. On the Business plan at Rs 5,000 a month (Rs 50,000 a year), each location has its own stock, with transfers between them. Our guide on managing stock across warehouses covers how to keep counts accurate. A dealer with one location runs on Standard at Rs 4,000 a month (Rs 36,000 a year).
Getting paid on large balances
Large credit needs regular follow-up. Taajir sends invoices on WhatsApp as each truck goes out and lets you send payment reminders when an instalment is due. The party balances report shows every customer's balance, so you can see total market credit before you take on a new big site. For sales tax registered dealers, the FBR-style GST report gives your accountant the figures to file from.
The AiroxLab team sets up Taajir remotely and trains your staff in Urdu or English. Start with the 7-day free trial at taajir.pk, or ask for a quote if you run several yards.
