ArfaPOS vs manual billing: is it time to retire the parchi?

Plenty of Pakistani restaurants still run on handwritten bills, a calculator and a parchi shouted to the kitchen. It is cheap and familiar. Here is what ArfaPOS changes, what it costs, and when manual billing is still fine.

What manual billing really looks like

A waiter takes the order on a pad. He walks the parchi to the kitchen. At the end, the cashier writes the bill by hand, adds it on a calculator, and puts the cash in the drawer. At night the owner adds up the bill book and counts the cash. On a quiet day this works.

On a busy Friday night with 30 tables, a takeaway queue and delivery calls, it starts to slip. A parchi falls behind the tandoor. A half karahi is billed as a quarter. A bill is written but the cash never reaches the drawer. Nobody does anything dramatic, yet the money at closing does not match what was cooked.

The cost of small mistakes

Take a restaurant doing 250 bills a day. If just 1% of bills are undercharged by an average of Rs 400, that is 2.5 bills and Rs 1,000 a day. Over 30 days it is Rs 30,000 a month. ArfaPOS Starter costs Rs 4,999 a month, and Growth costs Rs 9,999. The numbers here are an example, but most owners who move off paper find leakage they did not know about.

What ArfaPOS does instead

The cashier picks items from the menu on screen. Prices come from the menu, so the total is always right, and one bill can be split across cash, JazzCash, EasyPaisa or card. Each order is marked walk-in, takeaway, dine-in or delivery, and a kitchen ticket prints on the thermal printer. On Growth and Business, the order also goes to the kitchen display system, where the cook sees it with a timer showing how long it has waited.

On the Business plan, waiters can take the order at the table on a tablet and send it straight to the kitchen and counter. See waiter tablet ordering. At closing, the sales report is already there: total sales, payment methods, order types and top items, with till open and close per cashier. See our guide to end-of-day cash reconciliation for a simple routine.

Stock, recipes and food cost

With manual billing you know what you sold only after counting bills, and you never really know what it cost. On Growth and Business, ArfaPOS links recipes to inventory. When a chicken karahi sells, the chicken, oil, tomatoes and spices in its recipe are deducted from stock, and low-stock alerts warn you before you run out. Over a week you can compare what should have been used with what was bought, which is where food cost control starts.

Staff and control

ArfaPOS staff log in with a PIN or fingerprint. On Growth and Business, role permissions decide what each cashier, waiter and manager can do, discounts on the tablet need a manager PIN, cancelled orders carry a reason, and audit logs record who did what. The owner sees sales and expenses on the Admin Portal, and with more than one outlet, all branches in one login.

Tax receipts without a separate machine

ArfaPOS sends invoices to FBR through its FBR ePOS integration and prints PRA e-invoice receipts with a QR code, without a separate FBR machine. It is included on Growth and Business and is a Rs 2,500 a month add-on on Starter. Read more about FBR-integrated POS.

Plans and setup

Starter is Rs 4,999 a month for small shops and single counters, with all order types, split billing, expenses, reports, thermal printing and offline mode for 1 admin and 1 cashier. Growth is Rs 9,999 and adds the kitchen display, inventory with recipes, loyalty, customer credit, rider management, WhatsApp receipts and up to 10 cashiers. Business is Rs 14,999 for multi-branch, with tablet ordering, the customer website, payroll and unlimited staff. Billing is monthly with no yearly lock-in.

You need a Windows 10 or 11 PC and a USB or network thermal printer. Products can be imported from CSV, and most restaurants go live the same day with free onboarding from the AiroxLab team. The 7-day free trial covers the full Business plan with no credit card. Learn more about ArfaPOS.

Rush hour, takeaway and delivery

Manual billing struggles most when orders come from three directions at once. With ArfaPOS, a delivery order taken on the phone, a takeaway order at the counter and a dine-in table all reach the kitchen in the order they were placed. On Growth and Business, riders see their assigned deliveries on the Rider App, and at closing you see cash collected per rider. Sales are split by order type, so you know whether your delivery business is actually growing.

The verdict

ArfaPOS makes sense once you have more than a few tables, take takeaway or delivery orders, have staff handling cash, need FBR or PRA e-invoice receipts, or want to know your food cost. Manual billing is still a reasonable choice for a very small dhaba or tea stall with a short menu, where the owner takes every order and handles all the cash himself.
